Sample project for a fictional business, made to show what you get. Fable & Foam Brewing is not a real company.

Fable & Foam gets about 40 event enquiries a month, by email, Instagram, phone and its website. Its one events coordinator copied each into a spreadsheet, checked the calendar, and wrote every quote by hand. Replies took one to three days, and leads went cold.

Try the sandbox yourself: five sample enquiries, the workflow map and the automation, running in your browser. Nothing is sent anywhere.

The workflow, before and after

We mapped the process from one walkthrough with the coordinator:

  • Before: four inboxes to check, about 10 minutes of copying per enquiry, the same questions answered by hand, and follow-ups that depended on memory.
  • After: every channel lands in one queue. AI reads each message and fills in the record (occasion, date, guests, food, contact), the automation checks the calendar and which space fits, and AI drafts the reply in the brewery's tone. The coordinator reviews, edits if needed and approves. Follow-ups go out on day 2 and day 5 if there's no reply.

What the sandbox shows

Five sample enquiries, each handled differently:

  • A birthday for 45 on a free Saturday: the right space, a 7-day hold and the food options.
  • A company holiday party on a date that's already booked: the draft offers the next free dates.
  • A rehearsal dinner that wants to be outside in May: the Beer Garden.
  • A voicemail asking for a tour: pencilled into the Saturday tour.
  • A wedding for 250: more than either space holds, so a polite no with an alternative.

Nothing goes out until the coordinator approves it.

What the Done for you tier includes

  • The audit: a written workflow map of the processes we reviewed, ranked by how much time and error AI can remove.
  • The build: a working automation for the top-ranked process, with a person approving the steps where a mistake would be costly.
  • Your knowledge, organized: the prices, spaces, policies and templates the system draws on, in one place your team can update.
  • Handover: plain-language documentation and a handover session.

In the sandbox the "read the message" and "draft the reply" steps are a scripted stand-in, so it runs offline; a client build uses an AI model there. The calendar, capacity rules, follow-up schedule and templates are the real logic.
